User Audit
Lists every user of your ELM server with their roles, licenses and project memberships across DOORS Next, EWM, ETM and Global Configuration, ready for an access review.
What it is and why it exists
Regulated organizations must be able to answer at any time: who has access to which projects, with which roles and which licenses? In IBM ELM this information is spread across the Jazz Team Server and every application (DOORS Next, Engineering Workflow Management, Engineering Test Management, Global Configuration), each with its own project and team areas.
Collecting it by hand for an audit takes days and is outdated the moment it is finished. User Audit was created to build the full picture in one run and export it to Excel. It can be placed on the ELM Mini Dashboard of any ELM application.
Problems it solves
- Access reviews and audits that require a complete list of users, roles and memberships.
- Information spread across several applications and many project areas.
- Unused licenses and users without any project, which cost money and create risk.
- Manual reports that are out of date as soon as they are finished.
Benefits
- One complete report of users, Jazz roles, licenses and memberships across all ELM applications.
- Audit-ready Excel export with users, memberships (one row per user and project or team area) and applications.
- License and access hygiene: see active users without a project and archived memberships.
- Filters by user, project, team area or role.
- Read only and usable on the ELM Mini Dashboard of any ELM application.
How to use
- Add the widget to the ELM Mini Dashboard of any ELM application and click Find users.
- The list fills in while the widget reads the server; the Jazz roles are added in the background.
- Filter the list, or show only users with or without a project. Click a user to see every project and team area and the roles held there.
- Export the report to Excel with the download icon.
Good to know
- For JazzAdmins only: the Jazz user, license and role services answer only administrators. Other users see only the projects they can read.
- If an application asks you to sign in, the widget shows a link to open it, after which you run the search again.
- Additional Jazz applications can be added in the settings.
